Terms & Conditions for Little Plaza Venue Rental
1. Introduction
1.1. These Terms and Conditions ("T&C") govern the rental and use of the Little Plaza venue (“Venue”).
1.2. By booking the Venue, the client ("Renter") agrees to comply with these T&C. If you do not agree with these T&C, you should not proceed with the booking.
2. Booking & Reservation
2.1. All bookings must be made through the official Little Plaza website, via email, or any other designated booking method.
2.2. A booking is only confirmed upon receipt of a signed rental agreement and full payment of the applicable non-refundable deposit.
2.3. The Owner reserves the right to refuse any booking for any reason, including but not limited to previous breaches of these T&C by the Renter.
3. Payment Terms
3.1. A non-refundable deposit of 10% approx. of the total rental fee is required to secure the booking.
3.2. The remaining balance is due in full at the same time. If full payment is not received by the request three business days, the Owner reserves the right to cancel the booking.
3.3. Payments can be made via [list payment methods, e.g., credit card, bank transfer, PayPal, etc.]. Any additional charges or taxes are the responsibility of the Renter and must be paid in full.
4. Cancellation, Rescheduling, No-Show, & Refund Policy
4.1. **Cancellations by the Renter**:
- Cancellations must be made in writing and sent to Hello@littleplaza.co.uk
- Cancellations received 30 days before the event date will be eligible for a 50% refund of the total rental fee, excluding the non-refundable deposit.
- Cancellations made within 5 days before the event date will result in the forfeiture of the entire rental fee.
- **Important**: Once a booking is confirmed, the Renter cannot reschedule the event to a future date if request of reschedule receive less then 7 days before the event date. Little Plaza allocates the Venue exclusively for the Renter's chosen date, and rescheduling would impact future business. Therefore, no rescheduling requests will be accommodated at notification received less than 7 days.
4.2. **No-Show Policy**:
- If the Renter or their guests fail to show up on the event date, the booking will be considered a "no-show."
- No refunds or credits will be issued for no-shows.
- Rescheduling to a future date is not permitted for no-shows. The full rental fee will be forfeited as Little Plaza has incurred the opportunity cost of blocking the date.
4.3. **Owner's Right to Cancel**:
- Little Plaza reserves the right to cancel the booking due to unforeseen circumstances beyond its control (e.g., natural disasters, emergencies). In such cases, a full refund will be provided, or the Renter may choose to reschedule the event to a mutually agreed-upon future date.
4.4. **Fair Business Practices**:
- Little Plaza values fairness and transparency in its operations. The policies outlined ensure that the Venue can operate efficiently and maintain its business integrity. Allowing rescheduling on short notice would disrupt future bookings and is therefore not in the best interest of the Venue.
5. Use of the Venue
5.1. The Renter is responsible for ensuring that the Venue is used in a lawful and respectful manner at all times.
5.2. The Renter must adhere to the agreed-upon event schedule, including setup and teardown times. Additional charges may apply for exceeding the agreed-upon rental period.
5.3. The Renter is responsible for obtaining any necessary permits or licenses required for their event.
5.4. No alterations, including the installation of decorations or equipment, may be made to the Venue without prior approval from the Owner.
5.5. The Renter must ensure that the Venue is returned in the same condition as it was found. Any damage to the Venue or its contents will be the responsibility of the Renter, who will be charged for repairs or replacements.
6. Liability
6.1. The Owner shall not be held liable for any injury, loss, or damage to persons or property that occurs during the rental period, except where such liability cannot be excluded by law.
6.2. The Renter is responsible for the actions and behavior of all guests, vendors, and contractors associated with their event.
6.3. The Renter agrees to indemnify and hold harmless the Owner against any claims, damages, or liabilities arising from the use of the Venue.
7. Event Changes**
7.1. The Renter must notify the Owner of any significant changes to the event details (e.g., number of guests, event type) at least 7 days before the event.
7.2. The Owner reserves the right to approve or deny any changes and may adjust the rental fee accordingly.
8. Code of Conduct
8.1. The Renter and their guests must behave in a manner that does not disturb the surrounding community or damage the Venue.
8.2. The Owner reserves the right to terminate the event if the conduct of the Renter or guests is deemed inappropriate or dangerous, without refund.
9. Force Majeure
9.1. The Owner shall not be liable for any failure or delay in the performance of its obligations under these T&C if such failure or delay is due to causes beyond its reasonable control, including but not limited to acts of God, war, terrorism, strikes, or other circumstances.
10. Amendments**
10.1. The Owner reserves the right to amend these T&C at any time. Any such amendments will be posted on the Little Plaza website and will be effective immediately.
